For translation purposes, a business document is any structured file where accuracy directly affects how the content is understood and used. Contracts, financial statements, shareholder agreements, board resolutions, corporate policies, insurance documents, employment agreements, and official correspondence all fall into this category.
We work across five main sectors for document translation: corporate and commercial, financial and accounting, HR and employment, compliance and regulatory, and real estate. Each project is assigned to a translator whose subject area matches the document type. A corporate restructuring agreement goes to a translator with commercial law background. A financial audit report goes to someone with accounting and finance experience.
We return files in the same format as the source. A Word document with tables, headers, and a specific structure comes back as a Word document with those elements preserved. PDFs with complex layouts are returned as PDFs or editable Word files depending on the project requirements and your preference.
For large documents with repeated content, we apply translation memory discounts automatically. You are not charged twice for the same sentence. For clients with ongoing document translation needs, we build a company-specific glossary from your first project and apply it to every subsequent file.
We regularly translate documents that need to meet US requirements. Corporate documents for use with the SEC, IRS, state regulatory agencies, or US courts require a translator who understands both the US legal and regulatory context and the source country's equivalent. We are experienced with US-specific requirements and advise when additional steps beyond translation are needed.
Business documents contain commercially sensitive information. We treat all project files as strictly confidential. Our translators sign NDAs covering every project. Files are deleted from our systems 90 days after delivery unless you request otherwise. NDAs for clients are available on request at no cost.
Primary business document language pairs include Spanish, French, German, Portuguese, Italian, Dutch, Chinese (Simplified and Traditional), Japanese, Korean, Arabic, and Russian. For less common languages, contact us before ordering and we will confirm translator availability for your specific pair.
Yes. We handle mixed-language source documents regularly. We translate the target language sections and flag which sections were already in the destination language. You receive a clean final file.
Tables and chart labels in Word and PowerPoint are translated in-file. Embedded text in images or locked PDFs is flagged separately and translated as annotations if extraction is not possible.
Yes. For projects above 25,000 words we apply a volume rate. For ongoing retainer relationships with monthly document volume, contact us for a custom rate agreement.
